Are you a structured and driven person with experience in archiving within public administration? The Municipal Management Administration is now seeking an archivist with a focus on e-archive for the Secretariat Unit.

The Municipal Management Administration is the administration of the Municipal Executive Board. We have the overarching task of supporting the Municipal Executive Board and implementing and following up on its decisions. The administration consists of the Digitalization Department, Finance and Control Department, HR Department, Communications Department, and Urban Planning Department. Together, we will lead and coordinate the municipality's work.

The Secretariat Unit is a unit that belongs to the Municipal Management Administration. The Secretariat Unit consists of five employees located at the Municipal Management Administration's office on Kungsgatan in Kristinehamn as well as at the municipal archive in the Marieberg area. At the municipal archive, there is one archivist and one archive assistant.

JOB RESPONSIBILITIES

As an archivist, you are responsible for the municipal archive and lead the municipality's archiving work. You provide advice and support to all administrations and wholly-owned municipal companies on matters related to archives and supervise the archive management of committees and companies. The role includes working with the municipality's e-archive, Documaster, which involves leading delivery projects to the e-archive.

You are also responsible for the municipality's overall classification structure and provide advice on the establishment and revision of the authorities' information management plans, as well as handling the annual revision of the Municipal Executive Board. An important part of the work is to ensure that governing documents related to archives are updated and known within the municipality, and you are part of the municipality's digitalization council.

Furthermore, you release public documents from the archive (including confidentiality assessments), receive archive deliveries, organize and catalog archives. As a natural part of the work, you also have written and verbal contacts with other authorities, private individuals, and researchers. As an archivist, you are also the archivist for the Municipal Executive Board.

In addition, the position includes ongoing work within registration, where the municipality's case management system is LEX.

QUALIFICATIONS

We are looking for someone who has:

  • A university degree in archival science or another relevant education that provides you with the right competence for the role.
  • Previous experience working with archival issues in the public sector or other equivalent experience that the employer deems relevant.
  • Very good ability to express yourself verbally and in writing in Swedish.

It is advantageous if you also have experience working with e-archives and leading and driving projects. Since travel is required in the position, a B driver's license is beneficial.

We are looking for a person who works in an organized and structured manner with a good ability to prioritize. You enjoy many points of contact and have the ability to lead and drive projects. The role requires you to be a clear communicator and show good judgment in your statements.

You are accustomed to working with development and improvement work, are independent and confident in your role, and have a strong desire to deliver quality service.
